Job Description We are looking for an experienced Property Supervisor to manage a portfolio of residential properties in Los Angeles county and Orange County, consisting of small apartment complexes and single family residences. This individual must have experiences dealing with tenants, vendors and owners. This opportunity is perfect for someone willing to grow with our company. This position is primarily responsible for effectively managing and coordinating people, activities and available resources in order to maximize the successful operation of the properties assigned, including working with management and/or owners in order to achieve this objective. Main job tasks and responsibilities: Will be responsible for the following tasks, but is not limited to: MARKETING: · Knowledgeable of all phases of leasing and resident retention · Greet prospective clients as needed, show property and perform leasing duties as needed or supervise onsite staff in these areas · Correspond and interact with owners, prospective new residents, current residents, vendors/suppliers, etc · Maintain awareness of local market conditions and trends · Monitor guest cards for vacancies · Vacancy preparation and timely turn around of unit (5-7 business days) · Coordinate and oversee renovations / projects · Perform property inspections and oversee inspection requests from city, housing, lender or other entity. INCOME COLLECTION: · In collaboration with our accounts receivable department, ensure tenants remain current on their rental payments, other fees and their ledgers are accurate · Supervise all arrears and collection attempts · Issue appropriate notices when necessary (eg late payments, 3-day notices, eviction notices, returned check notifications) · Actively pursue collection from delinquent tenants and provide list of delinquent accounts to attorney for eviction action in accordance with state and local laws · Attend eviction court proceedings as required · Ensure proper handling and scheduling of evictions and skipped units · Monitor lease renewals and propose rent increases to upper management ADMINISTRATIVE: · Update our software as needed for accurate tenant information · Organize and make sure all pertinent documents are filed (applicable reports, leases, and paperwork) · Create and proof read all lease documents and process move-ins and move-outs · Review and approve service requests from residents and route to maintenance or vendors for prompt processing · Ensure timely compliance with all reporting deadlines · Additional tasks and projects as assigned by management TENANT/LANDLORD RELATIONS: · Handle all tenant complaints expeditiously, diplomatically and professionally · Confirm that residents are fully and properly notified of all issues that affect their tenancy · Be thoroughly familiar with each site lease and enforce the House Rules and Regulations of the site as well as the Pet Agreements and any regulatory programs in place and document significant violations of either · Ensure proper service to residents by thoroughly reviewing service requests and following up on pending requests. Also, set the lead in establishing proper service in all dealings with residents MAINTENANCE OPERATIONS: · Develop proper preventive maintenance schedules and ensure adherence to the same · Assure that multiple bids for upgrade contracts and service contract work are obtained and presented to upper management/property owner for approval. In addition, ensure that all contractors provide the proper Workers Compensation and Liability insurance documentation and Appfolio has been updated to reflect current insurance coverage · Schedule, implement and maintain records of all site specific programs such as inspections, upgrades, cycle paintings, HVAC, etc. in cooperation with Property Manager, where appropriate · Coordinate all move-in/move-out schedules · Ensure the proper use of the work order system through Appfolio · Assure compliance with contracts regarding work being performed by third party contractors · Assure appropriate market rate standards of curb appeals for all sites at all times FINANCIAL ANALYSIS AND REPORTING: · Maximize income and exercise cost control · Review monthly financial statements and ensure accuracy. Complete timely monthly management overviews and monthly financial overviews · Control vacancy losses through proactive suggestions and in-depth knowledge of local markets · Additional tasks and projects as assigned by management QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION AND/OR EXPERIENCE: Bachelor's degree (B. A.) from four-year college or university; or three to five years related experience and/or training; or equivalent combination of education and experience. Active California Real Estate License.
