Is that you? If so, we think you should get to know us. Each FirstService Residential client is a separate business with its own unique budget, vendors, investments and priorities. The Sr. Accountant partners with the VP-Client Accounting and Community Managers to promote client retention and build solid client relationships. The Sr. Accountant assists the VP with client financial issues and will be expected to obtain an excellent working knowledge of HOA accounting issues, including civil code requirements, collection activities, budgeting and pro-active risk management. The Sr. Accountant will be responsible to ensure monthly financials are i) accurate by conducting preliminary reviews and ii) timely by overseeing production for select accounts throughout the regions. The Sr. Accountant will notify the VP immediately if any issues with accuracy or timeliness occur and is expected to identify concerns and/or opportunities when submitting financial for final production. The Sr. Accountant will work with General Ledger staff as directed by the VP; and will have ultimate accountability for all Client Accounting service and deliverables as assigned by the VP. The Sr. Accountant will escalate any responsiveness and/or internal issues to the VP to coordinate with the appropriate Client Accounting Supervisor or Senior Manager for mutual resolution. The Sr. Accountant will be expected to prepare timely and accurate monthly financial statements for key accounts on a monthly basis and other accounts on an as needed basis as assigned by the VP. Additionally, the Assistant Controller will be called on frequently to handle special projects or analyses. The Sr. Accountant will oversee several General Ledger department processes and procedures as assigned by the Regional Controller to ensure compliance and prompt resolution. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Financial Reporting & General Ledger Accounting * Coordinates with the VP to ensure monthly financial statements are prepared in a timely and accurate manner as assigned. * Perform a detailed review of assigned client financial statements each month and identify potential errors or areas of risk including: variances to budget, linkage to supporting schedules, lingering bank reconciliation items, cash shortages, investment management opportunities, etc * Troubleshoot any accounting or reporting issues in collaboration with the Community Manager or CM leadership as needed. * Listen to clients, plan for their changing needs, monitor client satisfaction and follow up on client inquiries, requests or complaints as requested by the VP. * Prepares monthly final financial packages (as described below), which includes a table of contents, and any other special reports the Board of Directors has requested for key accounts and/or other accounts on an as needed basis as assigned by the VP. Also, perform day-to-day, month-end and year-end duties (as described below) for said accounts. 1. Reconcile multiple bank accounts per client. 2. Monitor reserve funding for timeliness and accuracy. 3. Responsible for input of all general ledger journal entries such as bank transfers, interest income, expense re-codes, reserve contributions, etc. 4. Input updates to accounting system: revised chart of accounts, financial statement formatting, job streams, reporting codes, GL notes, accounting periods, set-up new entities, bank codes, overhead calculations, and consolidated entities. 5. Performs necessary month-end duties: -collate and file prior month work papers for filing -printing next month's work orders, prelim review sheets, financial production checklist -record cash transfers that need to occur between entities -updating maturing CD's -initiate transfers of capital contribution receipts to segregated savings account -level assessment budget transfers -record unfunded reserves on balance sheet -bad debt JE -upload of mid-year budget changes 6. Perform necessary year-end duties: -close year-end associations -produce year-end refundable deposit schedule -analysis of reserve funding status -implement new budget -reallocate reserves per Board approved reserve study -adjust equity accounts for consolidated entities -print year-end financial statement for audit files 7. Execute association refundable deposit tracking: -maintain and update accurate accounting of refundable deposits -balance deposit spreadsheet to financial liability on a monthly basis -provide annual report in year-end financials 8. Prepare association preliminary financial statements as requested and make any necessary adjustments to preliminary financials as deemed necessary by the Community Manager, Board or other research. Planning & Budgeting * Assist the Community Manager with annual budgeting as requested. Ensure the Community Manager has the appropriate tools to bring before the board. Review / challenge reserve studies when warranted. * Identify trends early and develop plans to mitigate risks and reduce client "surprises". Prepare multi-year cash flow analyses as needed or appropriate. Leadership * Support an environment that provides direction and promotes continuous learning and development. Provide accurate and motivating feedback to the General Ledger staff and communicate constructive criticism of the General Ledger staff to the VP. Promotes hard work in others by setting the example. * Client retention is a key measure of success, so performance issues need to be surfaced with the VP as soon as possible. * Model FirstService Residential Global Service Standards and core values in all every aspect of the job. Promotes excellence in others by meeting company standards of quality. Takes full responsibility for all aspects of Merit's service. * Must work collaboratively and professionally with team members, clients and vendors. * Attend Board meetings when appropriate as determined by the VP. The Assistant Controller needs to be able to present important issues to Boards of Directors along with appropriate recommendations. * Sees matters from the clients' perspective as well as the companies' perspective to find approaches that work for both. Adept at handling contentious situations and managing change. * Promote collaboration and remove obstacles to teamwork across the organization. Growth * Manage the set-up of new accounts. Assist with the collection of all required documents and data from the previous management company. * Ensure account information is set-up accurately in Jenark. Ensure the client is happy with the financial reporting format. Adjust as necessary. QUALIFICATIONS . Financial & Computer Skills * Experience with CID accounting. Proficient in at least one accounting software package. Report-writing and database skill a plus. * Strong understanding of balance sheets, income statements, general ledgers, chart of accounts, journal entries, etc * Ability to enter data quickly and accurately. * High level of proficiency in Microsoft Office, especially Word, Excel and Outlook. Excellent Written and Verbal Communication * Writes clearly and succinctly in a variety of communication settings and styles. Can get messages across that have the desired effect. * Ability to crystallize thought and anticipate roadblocks. Able to rally commitment and buy-in. * Ability to explain financial reports and procedures to our clients and Community Management Team. * Listens attentively; communicates clearly and often.
