The employee payroll and benefits coordinator position assists employees with benefits enrollment and questions, manages all insurance billing, maintains employee database and files, and assists with payroll processing and reporting. A Day In The Life Act as a back up to our Payroll Manager to process all payroll data to allow for accurate payroll processing in a timely manner. Manage the maintenance of time and attendance records; poll electronic time cards and review/audit for completeness and accuracy. Serve as the definitive point of contact for questions regarding timekeeping and pay for management and employees. Administer various employee benefits programs, such as group health, flexible spending accounts, dental and vision, accident and disability, life insurance, 401(k), and wellness benefits. Conduct benefits orientations and explain benefits self-enrollment system. Maintain employee benefits filing systems and ensure benefits changes are entered appropriately in payroll system for payroll deduction. Assist with reconciliation of all billing. Verify the calculation of the monthly premium statements for all group insurance policies and maintain statistical data relative to premiums, claims and costs. Resolve administrative problems with the carrier representatives. Administer COBRA. Pull standard and ad hoc reports as needed for management. Accurately key all payroll related data for all new hires, tax status changes and miscellaneous changes for all employees. Process all involuntary deductions such as garnishments and levies in a timely manner. Process off-cycle checks for terminations, relocation and severance pay. Maintain employee files and various documents associated with payroll/time keeping. Participate in conducting training sessions on timekeeping system. Performs other work-related duties as assigned. Year-end reconciliation and issuing of W-2’s. Review and respond to unemployment claims with appropriate documentation. Review monthly unemployment statements. Prepare and set up meetings designed to help employees obtain information and understand company benefits and other related incentive programs. Ensure distribution of required employee notices. Prepare and maintain biweekly employee reports, new-hire and absentee reports. Maintain and update company organizational charts, phone directory and other requested reports as needed. What We're Looking For: Understanding of payroll, regulatory standards and payroll tax laws (federal, state, local). Solid understanding of the flow of transactions between the timekeeping and payroll system. Ability to maintain confidentiality and use professional discretion. Excellent problem solving/judgment skills with high attention to detail. Excellent interpersonal and written/oral communication skills. Excellent organizational and planning skills, ability to work under pressure and multi-task. Experience with general ledger reconciliation and preparing journal entries. Knowledge of company benefits in payroll (group term life insurance, worker’s compensation, 401k contributions, 3rd party sick pay). Experience with 401k non-discrimination testing and annual audits. Experience with compliance, labor statistics and EEO-1 reporting. Education/Experience High School Diploma (Associates preferred) or two or more years of office-related experience and/or training; or equivalent combination of education and experience. College degree is highly preferred. 2-5 years of handling full cycle payroll processing.
